Privacy Policy

This policy explains what Vicewave stores, why, and how you can delete it. We keep only what the bot needs to work.

What we collect

Discord IDs: your user ID and the IDs of servers, channels and roles the bot is set up with.
Server settings: choices admins make, like the news channel, ping roles, reminder settings and economy settings.
Economy data: your points balance, daily streak, shop purchases, profile bio, and a ledger of each balance change (amount, reason, time and the admin who made it, if any).
Reminder subscriptions: whether you opted in to launch reminder DMs.
News cache: headlines, excerpts and links from public news feeds. This isn't personal data.
Logs: technical logs (errors, command usage, IDs) used to keep the bot running.

What we don't collect

We don't read or store the content of your messages. For chat rewards the bot only notes when you last earned points, to apply the cooldown. We don't collect your email, IP address, payment details or anything from outside Discord.

Why we use it

Only to run Vicewave's features: show balances and leaderboards, post news and launch reminders in the right channels, send reminder DMs you asked for, prevent abuse, and fix bugs.

Sharing

We never sell your data and don't share it with advertisers. It's processed only by:

Discord, which the bot runs on (see Discord's Privacy Policy).
Our hosting provider, whose servers store the database and logs.

We may disclose data if the law requires it.

Retention

Data is kept while the bot is in your server. When Vicewave is removed from a server, that server's data is deleted within 30 days. Technical logs are kept only as long as needed to fix problems. If you turn off reminder DMs, or your DMs fail, your opt-in is removed.

Deleting your data

Run /privacy delete-my-data in a server and confirm. This deletes your profile, balance, purchases and reminder opt-in in that server. Ledger entries are kept only in anonymised form (your ID is replaced with “deleted”) so server totals stay correct. You can also ask us to delete your data across all servers by emailing support@harshkohli.com or asking in our support server.

Children

Vicewave is meant for people who meet Discord's minimum age in their country (13 or older in most places). We don't knowingly collect data from anyone younger. If you think we have, contact us and we'll delete it.

Security

Data is stored on secured servers with restricted access. No system is perfectly secure, but we take reasonable steps to protect it.

Changes

If we change this policy, we'll update the effective date above.
